Administrative Assistant/Medical Office Assistant

The right Candidate will possess excellent communication and customer service skills, strong organizational abilities, and the ability to independently manage daily tasks while working closely with office team members and field clinicians.

Qualified candidates will possess a high school diploma and have experience working in an office setting with multiple technology platforms, preferably in a health-related field. Preference for CNA or MA certification. They will possess the capacity to relate well to people including patients, team members, and other healthcare providers. They will possess high personal integrity, a caring attitude and portray a positive image.

General Office tasks-

New patient chart creation & adding SSN to their chart in Axxess from the Start Of Care paperwork

Assist with answering and fielding calls

Assist with faxing missed visits and communication notes to the PCPs and insurance case managers.

Monthly office supply list compiling

Quality calls to patients

Call 20 patients per week and document in the quality call log. All patients should be contacted once per week.

Electronic visit verifications and adjustments

Going through patient charts and ensuring all signature sheets in the patient chart are reflected in the patients Axxess chart. Manage EVV and adjusting the times in the details tab to match the signature sheet for that date.

Audit/survey preparation

Assist with ensuring compliance and implementation. Preparing and obtaining requested documentation requested for audits and surveys. Ensuring the staff charts are compliant.

Filing & Documentation control

Streamline the filing and documentation control process within the office. This includes sorting and organizing patient and employee records, ensuring that all documentation is easily accessible and systematically maintained. This solution enhances productivity and accuracy in record management, ultimately contributing to improved operational efficiency. Uploading Auths and service plans to the patient charts as well as any other documentation received.

Email monitoring

We all monitor the email for incoming faxes. Sorting them into the appropriate folder in the email and attaching it to the patients chart. Signed plan of cares come through email so it is critical to monitor for those so that claims in that cert period can be billed. Received pocs status must be updated to receive in the patients chart under the details tab of that specific poc. As well as the signed copy attached.

Insurance verifications

Beginning every month on the 1st for all patients and with each new patient.

For current patients: The purpose of the insurance verification is to check for any changes to the patients insurance. Any changes should be documented and communicated to the team. As well as added to the Referral to ERA spreadsheet.

For new patients: Insurance verification is to check if they have compatible insurance prior to us accepting and admitting them. The goal is also to check if they have any other insurance. We have a new patient form so that this information will be documented as well as it will be added to the referral to ERA spreadsheet.

Check PCP NPI to verify Medicaid/Medicare certification. - PECOS

485s / Plan of Cares

Sending 485/POCs: When sending plan of cares to the PCP for signature, youd go to the view tab at the top - orders management - orders to be sent. Youll use the same fax method to send the POC to the PCP and attach the confirmation to that specific POC then go back to the POC in the orders to be sent tab - select the POC sent & attached - select the send button so that it can go to the orders pending MD signature que.

485/POC follow up: When following up on plan of cares that were sent but not received back signed from the PCP, youll go to the view tab - orders management - orders pending MD signature. I always recommend clicking on the patient tab so that it can couple all the outstanding orders per patient that way when you call the PCP office, you can request all outstanding documents for that patient. By clicking on the printer icon, itll show you the exact dates and document that was sent and not received back. Depending on whether the PCP office confirms that they received it or if they didnt and request that we resend it; youll document who you spoke with, the date you spoke with them, and the conversation, followed by your name inside of the patients Axxess chart, in the “details” tab on the specific document in a yellow sticky note. That way the whole team can see when the POC was followed up on.

HR tasks and duties

Human Resources (HR) duties and responsibilities primarily includes: recruiting and hiring new employees, managing employee relations, overseeing employee benefits, handling performance management, ensuring compliance with labor laws, providing training and development opportunities, resolving workplace conflicts, and maintaining a positive work environment

Recruitment and Selection:

Identifying potential candidates, conducting interviews, and selecting new hires to fill open positions within the company. This includes monitoring indeed and walk in applicants.

Onboarding:

Welcoming new employees, providing them with necessary information about the company culture and expectations, and facilitating their integration into the team. This includes holding orientation and obtaining all required documentation. Running all background checks.

Compensation and Benefits:

Managing employee salaries, benefits packages, and ensuring compliance with relevant regulations. Sending pay information to Paycor.

Employee Relations:

Addressing employee concerns, mediating workplace disputes, and promoting positive working relationships. This also includes disciplinary actions and witnessing.

Performance Management:

Setting performance goals, conducting employee evaluations, providing feedback, and identifying areas for development. Conduction 90 day evals and annual evals.

Training and Development:

Designing and delivering training programs to enhance employee skills and knowledge. Coordinating skills demonstrations and exams for HHAs. Monitoring CEUs and ensuring compliance.

Compliance:

Staying updated on labor laws and ensuring the company adheres to legal requirements regarding employment practices. This includes monitoring certification/license expiration and renewals, BCIs initial and every 5 years, and Yearly ARCs check on all employees.

Employee Records Management:

Maintaining accurate employee data including personal information, employment history, and payroll details. This includes employee chart audits and adding employee documents into Axxess. This also includes providing contact and employee update forms.

Workplace Safety:

Implementing safety protocols and ensuring a safe working environment. Ensuring environment follows Osha standards.
