Job Number: 0302-CDOT-2024 Description BID/JOB ANNOUNCEMENT Administrative Assistant II City of Chicago Department of Transportation Total Number of Positions: 1 (2 Pending 2024 Budget Approval) Salary: $48,960 These positions are open to the general public and to all current city employees covered under the terms of the Citys collective bargaining agreement with the AMERICAN FEDERATION OF STATE, COUNTY AND MUNICIPAL EMPLOYEES (AFSCME) - (BARGAINING UNIT #01, 03, 04, 05). Only employees currently in City job titles in this bargaining unit are eligible to bid. Secondarily, and as directed by a supervisor, the class performs as required general clerical duties including word processing and data entry ESSENTIAL DUTIES
  • 811 Chicago duties:
  • Receives, compiles, and enters information related to construction activity into an electronic computer data system.
  • Assists users (callers and electronic submissions) in creating dig tickets, hit tickets, and joint meet requests (“tickets”) per regulations. Advises users on appropriate ticket creation.
  • Reviews permits prior to issuing tickets.
  • Performs other projects as required.
  • Permit processing duties:
  • Receives, compiles, and enters information related to construction activity into an electronic computer data system.
  • Assists users (callers and electronic submissions) in creating permit applications. Reviews permit applications to ensure compliance with CDOT Rules and Regulations, policies, and Municipal Code of Chicago §§ 7-28, 10-20, 10-28.
  • Performs other projects as required.
  • General clerical duties:
  • Reviews data for accuracy and completeness, enters data into electronic databases (e.g., CMAT, IPS 11, IPS Mobile, METS, Kronos, SalesForce, etc.), and runs reports on data.
  • Assists department timekeeper with organizing and entering staff time sheets.
  • Performs general clerical duties related to the sorting, batching, scanning, and filing of source documents.
  • Proofreads communications prior to distribution.

Two years of progressively responsible administrative or secretarial experience, or an equivalent combination of training and experience.

SELECTION REQUIREMENTS This position requires applicants to successfully pass a skills assessment and complete an interview. Test results will be sent out by the Department of Human Resources after test results have been analyzed and compiled. Candidates who pass the skills assessment will be selected to interview. The interviewed bidders receiving a passing score on the skills assessment and possessing the qualifications best suited to fulfill the responsibilities of the position will be selected in seniority order according to the collective bargaining agreement. Preference will be given to external candidates possessing the following:
  • Preference will be given to candidates that are fluent in English and Spanish (able to speak, read and write)
  • Previous work experience performing data entry in a professional office environment.
  • Previous work experience in a call center
  • Proficiency in the knowledge of City of Chicago geographic areas including thorough knowledge of street directions and addresses.
  • Proficiency in Microsoft Office products, IPS 11, dotMaps, ProjectDox, and Salesforce
