Compensation: $85,000–$125,000++ DOE
($40–$60 per hour DOE)

Foundation Systems Hawaii is Hawaii's leading foundation repair and geotechnical contractor specializing in micropiles, foundation stabilization, retaining structures, and specialty construction projects throughout the Hawaiian Islands.

We are seeking a highly organized and detail-oriented Assistant Controller / Construction Accounting & Operations Coordinator to support the financial, administrative, and operational functions of our growing company.

This position works directly with company ownership and senior management and is intended to develop into a key leadership role within the organization.

The ideal candidate will have construction accounting experience and the ability to learn all aspects of business operations, compliance, payroll, and financial management.

Key Responsibilities:

Accounting & Finance

• Process accounts payable and accounts receivable
• Enter and reconcile financial transactions in QuickBooks
• Assist with bank and credit card reconciliations
• Prepare customer invoices and payment tracking
• Assist with monthly financial reporting
• Maintain vendor records and payment schedules
• Support year-end accounting and CPA requests
• Assist with job-cost tracking and reporting

Payroll & Compliance

• Assist with weekly payroll processing
• Assist with certified payroll preparation
• Support union reporting and fringe benefit submissions
• Assist with payroll tax filings and compliance reporting
• Maintain employee records and payroll documentation

Construction Administration

• Assist with project setup and closeout documentation
• Support permit tracking and compliance requirements
• Maintain insurance, licensing, and compliance records
• Coordinate subcontractor and vendor documentation
• Track project schedules and administrative milestones

Office Operations

• Answer phones and respond to customer inquiries
• Coordinate scheduling of site visits and construction projects
• Assist with travel and logistics arrangements
• Maintain organized digital and physical filing systems
• Support estimators, project managers, and field supervisors

Human Resources Support

• Assist with onboarding new employees
• Maintain employee files and records
• Support benefits administration and 401(k) reporting
• Assist with company policies and HR documentation

Qualifications

• 3+ years of accounting, bookkeeping, office management, or construction administration experience
• Construction industry experience strongly preferred
• Proficiency in QuickBooks and Microsoft Excel
• Strong organizational and time-management skills
• Excellent communication and customer service skills
• Ability to maintain confidentiality and handle sensitive information
• Ability to work independently and manage multiple priorities

Preferred Qualifications

• Experience with certified payroll
• Experience with prevailing wage projects
• Experience with union reporting
• Associate's or Bachelor's Degree in Accounting, Finance, Business Administration, or related field
• Experience supporting multiple companies or divisions
